Job Title: Operations Associate / Receptionist

Location: Portland, Maine (On-site)

Pay: $18 – $24/hour (based on experience)

About the Role

We are a growing CPA firm in Portland, Maine, seeking a professional, organized, and friendly Operations Associate / Receptionist to support our team and ensure smooth day-to-day office operations. This is a client-facing position that plays a key role in both the administrative and client service functions of the firm.

Key Responsibilities

  • Greet clients and visitors in a professional and welcoming manner.
  • Answer and direct phone calls, take messages, and manage voicemail system.
  • Schedule client appointments and assist with calendar management for the team.
  • Handle incoming and outgoing mail, packages, and courier services.
  • Assist with document management: scanning, filing, and organizing physical and electronic records.
  • Maintain the appearance and functionality of the office (e.g., supplies, cleanliness, equipment).
  • Support tax season operations, including assembling tax return packets and processing client documents.
  • Provide administrative support to accountants and leadership as needed.

Qualifications

  • 1–3 years of experience in an administrative, receptionist, or office support role (experience in a CPA firm or professional services setting is a plus).
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Comfortable using Microsoft Office (Word, Excel, Outlook) and working with office technology.
  • Ability to manage multiple priorities and maintain confidentiality.
  • Professional appearance and demeanor.
